C4Media, Inc. is a global publisher (InfoQ.com) and producer of international events (QCon, InfoQ Dev Summit, and InfoQ Live). We strive to deliver services to our clients and partners using data protection and privacy practices. We promote responsible and purpose-driven data collection and use. We adhere to and comply with the relevant data protection law globally. We provide a transparent and accountable data protection process in all that we do.

What This Notice Covers

This privacy notice tells you what to expect when C4Media, Inc. collects, uses, and shares personal information. It explains how we use your personal data and your rights in relation to that data. (see Privacy Notice Scope section below). This privacy notice covers InfoQ.com and our conference and event sites (QConferences.com, QCon New York, QCon London, QCon San Francisco, https://devsummit.infoq.com/, and InfoQ Live), our InfoQ/QCon mobile app, and activities at our conferences, operated by C4Media, Inc.

Information Collected

C4Media, Inc. collects information about you from a variety of sources, including:

  • Information we collect from you directly;
  • Information we collect about you when you call us, visit our sites, use our mobile applications or services, or view our online advertisements;
  • Information we collect about you from other sources, such as social media, public and commercially-available sources;
  • Information shared with us by our business partners;
  • Information we collect from you at our events using badge scanners, RFID (radio frequency identification), and NFC (near-field communication) for capturing your feedback on sessions attended.

All the information C4Media, Inc. collects about you may be combined to improve our communications with you and to develop future events, such as dietary choices available at our conferences.

Links to Third-Party Sites and Social Media

Our sites may include links to third-party sites. C4Media, Inc. does not control these third-party sites, and we encourage you to read the privacy policy of every site you visit.

InfoQ uses “plugins” (such as the Facebook “Like” button) to third-party sites or offers login (such as log in with Facebook, Linkedin, and X) through a third-party account. Third-party plugins and login features, including their loading, operation, and use, are governed by the third party's privacy policy and terms.

Uses & Information Sharing

C4Media, Inc.uses the information we collect for C4Media, Inc. business purposes such as:

  • To provide the services you request;
  • To tell you about C4Media services from InfoQ and QCon, as well as those offered by our carefully selected business partners;
  • To manage our sites, apps, and services;
  • To identify bugs and improve the user experience of our mobile app
  • We may share your personal information with event sponsors, but only where you have given your explicit consent (for example, by allowing a sponsor to scan your conference badge);
  • We will store and secure your data using AWS Cloud Servers located in the US. AWS is committed to adhering to requirements under the GDPR, and data transfers are secured under the AWS Standard Contractual Clauses and the details in the Data Protection Agreement as per the Addendum.

We may share your information:

  • With our business clients for the provision of professional services such as data privacy consultancy, but only if the business, client, or we have obtained your consent and we have lawful, legitimate grounds or have a legal obligation to do so;
  • With our third-party service providers who perform QCon business operations on our behalf;
  • As part of a sale of a C4Media, Inc., and/or its brands to another company;
  • To protect and defend C4Media, Inc. (including enforcing our Terms and Conditions);
  • When required by law and/or relevant government authorities;
  • You have the right not to provide personal information to C4Media, Inc. This may mean C4Media, Inc. cannot provide the services you requested or tell you about other services offered by C4Media, Inc. (see C4Media, Inc. Business Purposes section below)

Trust is a cornerstone of our company ethos. C4Media, Inc. is committed to maintaining your trust by protecting the personal information that we collect and use.

This fair processing notification describes the information that C4Media, Inc. collects about you; how we use and protect this information; the choices you can make about how we use this information; and how you can correct or update your information.

Information Collected

We may collect information about you from various sources. This includes information we collect directly from you, information we collect when you visit our sites, view our online content, or attend our events, and information we collect about you from other observed sources, e.g., engaging with our emails.

Information we collect directly from you

We collect information directly from you when you choose to participate in our offers and programs, create an account on our websites, call or email us, or otherwise provide information directly to us. The following are examples of information we may collect directly from you:

  • Telephone and/or fax number;

  • Payment information: We only collect payment details like credit cards or bank details if we specifically ask for them for sending payments. When an individual buys a ticket to a conference, we do not collect that information. Instead, the payment is processed by Paypal or Moneris.
  • Future communication preferences;
  • Location;
  • Social media handles that you may share with us when you register for a conference.
  • Interests, e.g., technology preferences
  • Historical behavior, such as previous QCon attendance.

Information we collect when you visit our sites, use our mobile app, view our online ads or promotions, or use other services

We use cookies and other technologies to collect information when you visit our sites, view our online advertisements or promotions, or other services. The following are examples of information we may collect with these technologies:

  • Information about your device browser and operating system;
  • IP address;
  • Browser type and version
  • Device type and screen size
  • Operating system
  • Website performance metrics
  • Page load times
  • Error messages
  • How you navigate our website (such as which pages you visit and how long you spend on them)
  • How you interact with website elements (such as where you click and scroll)
  • Technical information about your browser window size and type
  • Anonymous heat maps and session recordings of your website visits, which are kept for a maximum of 30 days
  • Website performance data to help us identify technical issues
  • Event emails you open,

Information C4Media, Inc. collects from other sources

We may obtain information from other sources, such as when you visit our conferences and agree to have your badge scanned at these events, including commercially available sources. Examples of information we may collect from other sources are:

  • Name;
  • Postal address;
  • Email address;
  • Position and or job title;
  • Market research data;
  • Purchase behavior;
  • Publicly observed data or activities, such as blogs, videos, social media postings, and user-generated content.

C4Media, Inc. is a data controller and processor, depending on the reason(s) for which we process your data. We keep written records of all data processing undertaken as required by EU privacy regulations.

Business Purposes

We use the information we collect to send you offers and services from our websites, send you email communications relating to our conferences or content, deliver to you advertisements, ask for feedback through surveys, provide you with details on future events, send you email communications relating to our content, share content tailored to your interests, and conduct other C4Media, Inc. business operations

The following are examples of how we may use the information we collect:

  • Answer your questions or respond to your requests;
  • Send IT-related information you may be interested in buying or using as a service;
  • Share your data with sponsors at our conferences, where you allow them to scan your badge to send you information about their products and services;
  • Develop new products and services;
  • Resolve bugs and improve user experience;
  • Create and manage your account;
  • Process payment for purchases or other services;
  • Protect against or identify possible fraudulent transactions;
  • Send you emails and/or messages with information about QCon and InfoQ brands;
  • Personalize your experience on our websites or mobile apps by presenting services and information tailored to you;
  • Analyze the use of our services and advertising;
  • Enforce our Terms and Conditions and otherwise manage our business.

The success of our business depends on your trust. We may share your personal information with sponsors, clients, or third-party agencies only on an appropriate legal basis, such as legitimate interest or consent. We share your personal information within C4Media, Inc. as described in this Privacy notice.

We do not share personal information with marketers outside of C4Media, Inc. unless you consent to such sharing or as described within this Privacy Notice. C4Media, Inc. does not sell attendee lists or provide attendee contact details to data brokers.

Use of NFC Badges at Our Conferences

At our conferences, your scannable QR code is located on the reverse of your badge and cannot be accessed without you actively presenting it. If you choose to allow a sponsor to scan your badge at their booth, they will receive your name, email address, and company name. The sponsor may then use this information to contact you with details about their products and services. Sponsors who receive your data through badge scanning are required to process it in accordance with applicable data protection laws.

If you use your NFC badge for voting on sessions, we may follow up with you to ask questions that help us improve future events. If you prefer your vote to be anonymous, logged-in users have the option to vote anonymously. Please ask the conference staff for assistance if needed.

Co-Promotions with Carefully Selected Business Partners

C4Media, Inc. may collect personal and other information for a co-promotion or joint program with a business partner or sponsors and share your information with that business partner. For these programs, we will make clear at the point of collection that the information will be shared with C4Media, Inc. and the participating business partner and ask for your consent as required by applicable laws.

Third-Party Service Providers

We rely on third-party service providers to perform various business operations on our behalf. In so doing, we may need to share your personal information with them. We provide our service providers with only the personal information they need to perform the services we request, and we require that they protect this information and not use it for any other purpose.

For example, we may rely on a service provider to:

  • Fulfill your service requests and answer your questions;
  • Host our sites and deliver our email or other communications;
  • Manage payments or take other actions on our behalf;
  • Analyze our data, sometimes combined with data from other sources, to send you communications or provide professional services;
  • Conduct research and analyze data to improve our products, services, and sites.
  • Where permitted by law, we may combine personal information about you that QCon has collected, with personal information about you that a business partner has collected, so we can jointly send tailored promotional communications to you or complete professional services we have been instructed to undertake. In such instances, our business partner will not be permitted to use QCon data or the combined data for its own independent marketing purposes. Our service provider will only be allowed to use the combined set of information to send you joint communications that will be of interest to you. If you prefer not to receive these joint communications, you can always opt-out by following the instructions provided in any such communication or through this Privacy Policy as indicated above;
  • Perform other services that we request.

InfoQ/QCon mobile app

Other Situations

We may disclose your personal information:

  • As part of the sale of a C4Media, Inc., or its brands to another company;
  • To protect and defend the rights and property of C4Media, Inc. (including enforcing our Terms and Conditions);
  • When required by law and/or government authorities;
  • To fulfill contracted professional services such as data privacy-related consultancy.

Personal Information Retention Period

We will retain Personal Information for the period necessary to fulfill the purposes outlined in this Privacy Notice unless a longer retention period is required or permitted by law.

Examples:

  • When you notify us that you wish to be removed from our mailing lists, we will erase your data within 4 weeks;
  • We may keep your personal data for periods as stipulated under our data classification policy, for example, 10 years if the information relates to health and safety;
  • Client personal information is regularly updated and deleted if no longer necessary.

Aggregated and Non-Personal Information

We share aggregated and/or anonymous information that does not identify you for C4Media, Inc. business purposes. For example, we may disclose the number of visitors to InfoQ sites or services. We may also share aggregated and/or anonymous information with our business partners for their own business purposes.

Information Transfer

C4Media, Inc. may transfer your personal information within C4Media, Inc. and/or to other third parties, such as our third-party service providers. Your personal information may be transferred to, stored, and processed in a country other than where it was collected, including the United States, where our AWS cloud infrastructure is located. Where personal data is transferred outside the European Economic Area or the United Kingdom, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission, to protect your data in accordance with applicable data protection laws.

We have implemented procedures and controls to help ensure that personal information is protected regardless of the country in which it is stored or transferred.

Legal Effects and Impact on Individuals

In some cases, the personal information you provide our clients (data controllers) may form contractual or legal obligations and may have a significant impact on the individual or individuals providing the information. For example, we are obliged to share information under a legal warrant with a law enforcement agency. If you decide not to provide personal information, C4Media, Inc. may be unable to complete the data processing on behalf of our clients. The provision of personal information directly to C4Media, Inc. would not normally in itself adversely affect an individual.

Information Security

C4Media, Inc. is committed to keeping personal information secure. We have implemented technical, administrative, and physical procedures designed to protect personal information from loss, misuse, or alteration.

We limit access to personal information to those who need it for business purposes and secure it using appropriate technologies, such as firewalls, encryption, hashing, and password management.

Children's Online Privacy

We do not intend to collect personal information online from children under the age of 16, or under the age of 13 where US law (COPPA) applies, or as otherwise defined by local legal requirements.

We give you choices about how we communicate with you.

Email Communications

If you have given us your email for communication or promotion, we will use your data to contact you or send promotional emails related to your interests. You may revoke your consent to being contacted by email for promotional purposes at any time by clicking on an unsubscribe link.

Further, we may use email tracking technology to obtain data on whether you open an email or click on any links in an email. This data will be used only in automated ways to help improve future marketing messaging and/or prioritize follow-ups based on perceived communications relevance. Without your consent, we will not use personal data unique to you, such as your IP address, device and browser information, or the time and number of times you open an email or click on a link.

Accessing or Updating Your Information

Data Erasure & Processing Choices

You can instruct C4Media, Inc. (privacy@c4media.com) to cease processing your personal data or to erase it. Where this request does not impact the freedoms and rights of others, as defined by EU privacy regulations, we will act on your instructions in a reasonable timeframe and use appropriate resources to comply with your request. The withdrawal of consent or erasure of data from an individual to cease processing will not invalidate the original legitimate and lawful basis for processing personal data as outlined in this notice.

Data Portability

You may have the right to instruct C4Media, Inc. to transfer personal data relating to you to another company. Where this request does not impact the freedoms and rights of others as defined by EU privacy regulations, we will act on your instructions in a reasonable timeframe and use appropriate resources to comply with your request. C4Media, Inc. is not responsible for another company accepting the data transfer in whole or in part. C4Media, Inc. will not be responsible for the data after the transfer of data, in whole or in part, to another company, regarding their obligations under EU privacy regulations.

After the data transfer to another company is completed, you can instruct C4Media, Inc. to cease processing and storing the transferred data, delete the transferred data, or continue processing the transferred data.
